Background


Calton Square is the first major development in the East of Edinburgh’s main thoroughfare since the 1980’s. A brand new high specification office building with two receptions, private car-park and high quality internal finishes. Key Facilities Management provides a full landlord and tenant management service for the building.

The anchor tenant is the UK’s leading independent asset and financial management company Baillie Gifford & Co. Our management services are fully integrated to support their core business and meet their requirements at this major landmark facility.

Critical to the success of this project is the joint approach between Key Facilities Management and Baillie Gifford in providing and managing the reception and security services.

Objectives


  • Commission building services from construction to occupancy on behalf of landlord and anchor tenant.
  • Scope, establish and manage landlord services and associated service charge budget.
  • Manage security, safety and continuity of operations during numerous tenant fit-out contracts.
  • Integrate service delivery standards to meet tenant Service Level Agreements.
  • Co-ordinate emergency planning with other building owners and multi-occupancy tenant companies.
  • Provide strategic facilities management planning for tenant support services department.
  • Establish 25 year operating and maintenance plan for the building.

Outcomes


  • Building suitable for occupancy on time.
  • Influenced tenant space planning strategies resulting in reduced need for office ‘churn’ by 80%.
  • Service Level Agreements incorporated into landlord facilities management services programme.
  • Landlord services established and budget achieved within agreed 5% tolerance.
  • All tenants fully supported across all facilities management services by 24/7 facilities management team.
  • Minor capital projects delivered for no fee using site based facilities management team.
  • Coordinated emergency response plans and 25 year maintenance plan established and implemented.
