Background


The BBC is the UK’s premier media broadcaster renowned worldwide for the quality of its programming.

Its regional centres in Scotland and Wales are a vital part of the corporation facilitating the majority of the technical equipment and resources. There are also over 20 remote locations that must provide instant access to the BBC network of programmes.

Facilities management services had been previously outsourced in many different forms but a strategic decision to ‘package’ maintenance, security, cleaning, catering & hospitality, porterage and management services into a single contract was introduced to deliver efficiency gains and more transparency of cost.

Objectives


  • Consolidate facilities management operations to match requirements for each location.
  • Manage programme of TUPE for over 100 staff into management and sub-contractor organisations.
  • Create operational plan in support of programme needs.
  • Provide reactive based service processes in support of client ad-hoc operations.
  • Create forward maintenance plan and associated budget.
  • Implement management reporting and performance measuring systems for each main location.
  • ‘Pay as you use’ services concept developed and implemented.
  • Improve management information, reporting and communication channels.

Outcomes


  • Created new ways of team working for individual service lines.
  • Successful TUPE transfer for all staff.
  • Service Level Agreements incorporated into programme schedules.
  • Customer satisfaction results increased by 21%.
  • Consolidation of supply chain and management processes via on-site management team for all sub-contractors associated with remote locations.
  • Account Director role established in order to provide clarity and efficiency in terms of client interface and management communications.
